The problem

You win instructions on judgement and relationships. Then the week fills up with chasing. In Landmark's 2024 survey, agents said chain progression took 55% of the working day. On TwentyCi's August 2026 figures, a sale takes 123 days from agreed to exchange, and more than one in five falls through.

Around that sits the writing nobody sees. Viewing feedback typed up at the end of the day. The Friday vendor update. Comparables for tomorrow's valuation. Particulars that have to get the material information right.

AI takes the first draft. You check every fact and send it in your name.

ChatGPT and Claude for estate agents

We set up Claude for estate agents, with our plugin, or ChatGPT if that's what the team has. If a family office holds the property, see AI for wealth managers.

How estate agents use AI

For a prime agent selling £2m to £20m homes, a session could cover these, depending on who's in the room. The tools are ChatGPT and Claude.

Sales progression

  • What's outstanding on each sale
  • Chasers to conveyancers and brokers
  • A weekly pipeline note

Vendor reports

  • Viewing logs in Google Sheets, into fortnightly vendor reports
  • The pattern across viewings, not the loudest comment

Valuations and pitches

  • Sold history and comparables in one brief
  • The follow-up before the vendor goes cold

Buyers and past clients

  • Research on a buyer or client before a call or viewing
  • Anniversary check-ins to past clients
  • New instructions matched to buyers

Canvassing and particulars

  • Canvassing letters in your voice, 50 to 70 for a road
  • Particulars from your notes, with only the facts in your file

AI for real estate agents: examples from our sessions

Property firms tend to value discretion, which is why we don't name clients.

Head of Research, global commercial real estate firm

A one-to-one session. He leads a research team across the UK and Europe, and his work was locked to Microsoft Copilot. We set up Claude, a meeting transcriber and voice dictation.

  • Tone of voice Getting Claude to write like him. Context files on him, his firm and his tone, built from 200+ of his sent emails.
  • Daily briefing The property and financial press. A market briefing at 10am every day.
  • Weekly planning Email, calendar and Teams. A Friday to-do list for the week ahead.
  • Lease expiries An Excel file of leases. A lease-expiry dashboard by country.
  • Meetings and emails Meeting prep and client emails. Skills for both, in his voice.
"Ollie ran a training session with me last week, and I have to say it was one of the best I've had. It has genuinely changed the way I work day to day."
Head of Research, global commercial real estate firm

Historic family-owned rural estate in the north of England

In person, as part of a programme across several teams. The land and property team manages tenanted farmland and residential houses. The holiday parks team runs two parks selling static caravans and lodges to private owners.

  • Meeting minutes Minuting a long meeting took up to two days. A skill that drafts minutes from recordings in the house style, from past approved minutes.
  • Condition survey A quinquennial survey of let properties: a CSV of around 15,000 lines. An Excel workbook with a 30-year cash-flow forecast and an 'act now' tab for hazardous items.
  • Sale packs About 20 details typed into three or four documents. A buyer's name fills the licence, purchase agreement, invoice and letter, and it checks they agree.
  • Brochures and the shop About 50 brochures a year, and supplier invoices. Brochures from the master price sheet. Invoices checked against the stock sheet, with price changes flagged.
  • Inbox and field notes Tenants, lawyers and contractors. Farm visits and tenant meetings. Replies drafted in each person's tone. A meeting transcriber on mobile.

Afterwards: "It was a really invaluable set of sessions." And from the parks: "I didn't expect to get that much out of it."

How it works

  1. Discovery first. A free call, or a short form for everyone attending, on where the week goes.
  2. Set up. Every session starts with setting up Claude properly, using our Practical AI plugin, which maps the person and the business to build the best structure for them.
  3. The right room. Directors, senior negotiators and whoever runs progression. Small groups (typically up to 5) or 1:1, led by Ollie.
  4. Your own material. A live sale, real viewing notes and your last particulars, not a sample brochure.
  5. Ways of working. Ways of thinking, problem framing, context engineering and tool selection, so the skills keep working as the tools change. We're Claude-first, not tied to one vendor. Most of the training is in Claude, but we work with ChatGPT and Microsoft Copilot too.
  6. Afterwards. A 30-day review call.

FAQ

FAQs

How can estate agents use AI?
Mostly on the writing around a sale: chasers, vendor updates, valuation briefs, particulars and market notes. AI takes a first cut. You check it and send it.
Can AI help with sales progression?
It can't make a conveyancer pick up the phone. It can list what's outstanding on each sale from the email trail, and draft the chaser and the vendor update.
Can AI write property particulars?
It can draft them from your notes, the floor plan and past particulars. The material information rules still apply, so it only uses what's in your file, and you check every fact.
Will it cost us the personal touch?
Not if it's set up properly. It learns your tone from past letters. The calls, the viewings and the advice stay with your people.
Is it safe to use with client and buyer data?
With the right setup, yes. Business plans that don't train on your data, and agreed rules on what never goes in, such as passports and bank statements.
Which is the best AI for estate agents?
ChatGPT and Claude both work. We set up whichever your firm already has.
Are estate agents allowed to use AI?
Yes, with your firm's sign-off. AI drafts and you check. Particulars stick to the facts on file.
Can we use AI to edit property photos?
We don't alter listing photos. The training is on the writing and admin around them.
How much does the training cost?
Half day £3,500 + VAT. Full day £6,500 + VAT. From £3,500 a month, and builds from £7,500. The discovery call is free.
